Vendor Terms & Conditions

These terms govern your participation as a vendor at any VenueCraft event. By submitting a vendor application you agree to the terms below.

1 Application & Approval

Submitting a vendor application does not guarantee a booth. All applications are reviewed by VenueCraft and approval is based on booth availability, vendor category capacity, event theme alignment, and product suitability.

  • Applications are reviewed within 24 hours of submission.
  • Approved vendors will receive payment instructions by email.
  • A booth is only confirmed once full payment has been received.
  • Food trucks and large vehicle vendors require additional approval due to limited spaces and site logistics.
  • VenueCraft reserves the right to decline any application at its sole discretion.

2 Payment

Payment is due within 48 hours of receiving your approval email. Booths are not held without payment — if payment is not received within 48 hours, your spot may be released to another vendor.

  • Accepted payment methods will be listed in your approval email.
  • Please include your business name as the payment reference.
  • Each event is quoted and charged separately. Vendors booking more than one event will see a separate charge for each event booked, not a single combined payment — see Section 3.
  • Early bird pricing applies only to registrations made 2 weeks or more before the event date.
  • Electricity add-ons are charged per day attended, must be purchased at registration, and cannot be added on event day.

3 Vendor Cancellations & Refunds

Bookings are per event. Each event is booked, priced, and paid for separately, and each booking stands on its own. Cancelling one event does not affect your booking at any other event, and any refund or credit applies only to the event cancelled. This is why vendors booking multiple events are charged separately for each — it allows any single event to be cancelled and refunded without disturbing the rest of your schedule.

If you need to cancel your booth reservation, the following refund schedule applies to that event, based on when we receive your written cancellation notice by email:

7–13 days before event 50% refund OR full credit toward a future VenueCraft event — your choice
Less than 7 days No refund. Credit toward a future event may be offered at VenueCraft's discretion

Refunds are issued to the original payment method and are processed within 5–10 business days of approval. Refunds cannot be redirected to a different card, account, or person.

💡 Tip: If your plans are uncertain, the credit option keeps your full payment value — it never expires and can be applied to any future VenueCraft event.

4 Event Cancellation by VenueCraft

If VenueCraft cancels an event due to severe weather, permitting issues, or circumstances beyond our control:

  • All paid vendors automatically receive a full credit toward the next VenueCraft event.
  • Vendors who cannot attend a future event may request a full refund instead by emailing us within 14 days of the cancellation announcement.
  • Cancellation of one event does not affect your bookings at any other VenueCraft event.

5 Weather Policy

All VenueCraft outdoor events run rain or shine. Light rain, wind, heat, or cold do not constitute grounds for a refund or credit.

Events will only be cancelled or postponed in cases of severe weather that poses a safety risk — such as lightning, flooding, or high winds — as determined by VenueCraft and local authorities. In such cases, Section 4 applies.

6 No-Show Policy

⚠️ Vendors who fail to appear on event day without prior written notice forfeit their booth fee in full. No refund or credit will be issued for no-shows.

If an emergency prevents you from attending, contact us as soon as possible — we will do our best to work with you, but accommodations for no-notice absences are at VenueCraft's sole discretion.

7 Setup & Breakdown

  • Events run Friday through Sunday, 10:00 AM – 5:00 PM daily. Vendors may book one, two, or all three days.
  • Setup times will be provided in your booth confirmation email. All booths must be fully set up 30 minutes before the event opens each day you are attending.
  • Vendors booked for multiple days may leave displays set up overnight at their own risk. VenueCraft provides no overnight security and is not responsible for loss or damage — see Section 9.
  • Vendors arriving after setup closes may lose their booth placement without refund.
  • No early breakdown. Booths must remain open until the event officially closes each day. Early breakdown disrupts the event experience and may affect approval for future events.
  • Vendors are responsible for leaving their space clean and free of trash.

8 Vendor Responsibilities

  • Vendors must provide their own tables, chairs, tents, weights, signage, and display materials unless otherwise stated.
  • Tents must be properly weighted — stakes are not permitted on paved surfaces.
  • Vendors are responsible for their own sales, transactions, and applicable sales tax collection and remittance.
  • Vendors selling food or beverages must hold all required permits, licenses, and insurance as mandated by state and local authorities.
  • Vendors must conduct themselves professionally and courteously toward shoppers, fellow vendors, and event staff.

9 Liability

Vendors participate at their own risk. VenueCraft, its owners, employees, and event partners are not responsible for:

  • Loss, theft, or damage to vendor property, merchandise, or equipment.
  • Personal injury occurring at a vendor's booth or caused by a vendor's products, equipment, or setup.
  • Vendor sales performance — booth fees are for space rental only, and sales results are not guaranteed.

Vendors agree to indemnify and hold harmless VenueCraft from any claims arising from their participation, products, or conduct at any event.

10 Photography & Marketing

VenueCraft may photograph and record events for marketing purposes. By participating, vendors consent to the use of images of their booth, products, and likeness in VenueCraft promotional materials, website, and social media — at no compensation. Vendors who wish to opt out must notify us in writing before the event.

11 Changes to These Terms

VenueCraft may update these terms from time to time. The version in effect at the time of your registration applies to your booking. Material changes will be communicated to registered vendors by email.
